Is your firm’s document management system working the way it should?

For many firms, it works until it doesn't. Shared drives have no version control, no check-in/check-out, no audit trail, and no automatic retention policies. The bigger the firm and the more document-intensive the practice, the more the limitations show up – usually at the worst possible moment.

SharePoint is a document platform; a purpose-built legal DMS is a document management system designed around how law firms actually work. SharePoint can serve as a legitimate DMS foundation if it's properly configured for legal use – and we do that for firms already in the Microsoft 365 ecosystem. But out of the box, SharePoint is not a DMS. The configuration is what makes it work.

Permissions. A properly configured DMS (or SharePoint) lets you control access at the matter, practice group, and individual user level. Someone who needs to access one client's file shouldn't be able to see another client's file – and in a well-configured system, they won't be able to. We map those permissions to your actual firm structure, not a generic template.

Migration is the hardest part. Documents, metadata, matter context, version history – all of it needs to move cleanly to the new system without getting lost or disconnected from the matters they belong to. We handle these migrations regularly and know where the data tends to go wrong.

They serve different functions. Your PMS manages the operational life of a matter – the calendar, billing, tasks, and client communications. Your DMS manages the documents that belong to it. Some platforms try to do both; most firms that try to use one system for both eventually find gaps. The better answer is two systems that are properly integrated so they work as one.
